Kindling Letters is a small, faith-based business. We collect only what we need to print and mail your letters, we don't run analytics on your notes or photos, and we don't sell your information to anyone. This page explains exactly what we collect, why, and who we work with.

This Privacy Policy describes how Kindling Letters ("Kindling", "we", "us") collects, uses, and protects information when you visit kindlingletters.com or subscribe to our letter service. By using the site or subscribing, you agree to this policy.

Who we are

Information we collect

Information you give us

Your details — your name and email address when you start a subscription or give a gift.
Recipient details — the name and full mailing address of the person you're sending letters to, plus the story theme, age group, and your relationship to them. You provide this to us; we don't collect anything directly from the recipient.
Your monthly note and photo — the short personal note you write and the photo you upload each month, which we print and tuck inside the letter.
Messages — anything you send us by email or through a contact form.

Payment information

Payments are processed by Stripe. Your card number and payment details go directly to Stripe and are never stored on our systems. We receive only confirmation of payment and limited details such as the last four digits of your card and your billing country, which Stripe makes available to us. See Stripe's Privacy Policy.

Information collected automatically

Our hosting provider keeps standard server logs (such as IP address, browser type, and pages requested) for security and to keep the site running reliably. We do not use advertising trackers or third-party analytics — see "Cookies" below.

Letters sent to children

Some Kindling story tiers are written for younger readers. If the person you're sending letters to is a child, you — the adult who set up the gift — are the one giving us their name and address, with the knowledge and permission of the child's parent or guardian. We do not knowingly collect personal information directly from children. If you believe a child has provided information to us directly, contact us and we will delete it.

How we use your information

To print, address, and mail your monthly letters.
To set up and manage your subscription or gift, and to process payments through Stripe.
To send you service emails — order confirmations, receipts, and monthly reminders to submit your note and photo.
To respond to your questions and provide support.
To keep the service secure and to meet our legal, accounting, and tax obligations.

We do not analyse the content of your notes or photos, and we don't use them for anything other than printing and mailing your letter.

Who we share it with

We don't sell your information. We share it only with the service providers we rely on to run Kindling, and only as far as each one needs it:

Stripe — payment processing and subscription billing.
Brevo (Sendinblue) — sending our service emails.
Google — we keep order and recipient records in a private Google Sheet.
Vercel — website hosting and secure storage of the photos you upload.

We may also disclose information if the law requires it, to protect our rights or someone's safety, or in connection with a sale or transfer of the business — in which case we'd let affected customers know.

How long we keep it

We keep your subscription and recipient details, and your notes and photos, for as long as your subscription is active and for a reasonable period afterwards so we can handle questions, reprints, refunds, and our accounting and tax records. You can ask us to delete your information sooner — see your rights below.

How we protect it

We limit access to your information to the people who need it to run Kindling, we rely on reputable providers (Stripe, Google, Vercel, Brevo) that maintain industry-standard security, and we don't share account passwords. No system is perfectly secure, but we take reasonable steps to protect your information.

Your choices and rights

You can ask us to:

tell you what information we hold about you;
correct anything that's wrong — you can also update a recipient's address by contacting us;
delete your information, where we're not required by law to keep it;
stop sending you any marketing email — though we'll still send essential service emails while you have an active subscription.

Email hello@kindlingletters.com and we'll take care of it. Depending on where you live, you may have additional rights under laws such as the EU/UK GDPR or the California CCPA/CPRA, and we will honour those.

Cookies

Kindling uses a small number of essential cookies only — for things like keeping a checkout or form session working and remembering your cookie choice. We don't currently use any analytics or advertising cookies. If that ever changes, the cookie banner on the site will ask for your consent first, and you can change your choice at any time using the "Cookie preferences" link in the footer.

Eligibility

Our service is intended for adults. You must be 18 or older to create an account, subscribe, or give a gift.

If we make material changes, we'll update the date at the top of this page and, where appropriate, let you know by email.
